Plenty of schools know their current system is not working. Half the modules were never set up, nobody was trained, and the fee counter quietly went back to a register two years ago. They stay anyway, because the alternative sounds worse: lose the data, start again, re-enter everything.

That fear is reasonable and usually misplaced. A migration done properly is a few days of our work and a couple of hours of yours.

What actually has to move

Less than people assume. The list that matters:

  • Students and families — names, admission numbers, class and section, guardians, contact numbers, siblings grouped together.
  • Fee heads and structures — what each class is charged, plus any per-student concessions.
  • Outstanding balances — what each family owes today. This is the number that must be right.
  • Staff — names, designations, salary structures.
  • Current session results, if you are mid-year.

What to leave behind

This is the part nobody says out loud. Not everything is worth moving:

  • Historic attendance from previous years. Keep the old system's export as a file; nobody will query it in the new one.
  • Receipts from closed sessions. The balance carried forward is what matters, not every transaction behind it.
  • Students who left years ago. Archive them; do not import them.

Trying to bring ten years of everything is the single most common reason a migration drags on for months and then gets abandoned.

Where your data is coming from

From registers

Paper gets typed once, by us, not by your staff in the evenings. For a school of a few hundred students this is the longest part, and it is still days rather than weeks.

From Excel

Send the file you already keep, in whatever shape it is in. Columns in a different order, two header rows, a merged cell somebody added in 2023 — this is normal. We map your columns to the system's fields; you do not reformat anything.

From existing software

Most systems can export to Excel or CSV even if the vendor is unhelpful. If yours genuinely cannot, the data is still in a database that can usually be read directly. A vendor who will not hand over an export is not a reason to stay.

The step that decides whether it worked

Before anything goes live, you check it — not us. Three numbers:

  1. Student count, by class. Compare against your own list.
  2. Total outstanding, against your own figure. If this matches, almost everything else is right.
  3. A handful of families you know well. Pick the complicated ones: three siblings, a concession, a part payment last month. If those are right, the simple ones are.

If a number is wrong, it is corrected and re-imported. Nothing goes live on a figure you have not agreed.

When to switch

The start of a session is easiest. The start of a month is good. Mid-month is possible but means carrying balances across a partially collected cycle, which is work you do not need.

Run both systems for one fee cycle if it helps you sleep. Most schools stop after a week because the duplication is more effort than the reassurance is worth.

Frequently asked questions

How long does it take?

A single campus with a clean Excel export is usually live within a few days, including training. Multi-campus groups are planned with you.

Will our staff be able to use it?

We train on your own data, not a demo — people learn faster when they recognise the names on the screen.

What does migration cost?

It is part of setup. We do not price it as a surprise afterwards.

What if we have no digital records at all?

Then you are a straightforward case. There is nothing to reconcile — the registers get typed once and that is the end of it.

The real question

The question is not whether you can move your data. You can. It is whether another year on a system nobody uses costs you more than a few days of transition. See how migration works or send us a sample of your data and we will tell you honestly what is involved.
